Privacy policy

Trakly is a field-sales tracking service operated by CodeVel (“we”, “us”). Businesses (“customers”) use Trakly to record their field employees’ attendance, location and customer visits during the employees’ work day, through the Trakly Android app and the Trakly web dashboard. This policy explains what we collect, why, who can see it, and how to have it deleted.
The short version
- The Trakly app records an employee’s location only during a work day the employee starts, from “Start day” until “End day” (or the end-of-day time their employer sets). It never tracks outside that window.
- While tracking is on, Android shows a notification the whole time. Tracking is never hidden.
- We do not sell data, show ads, or share location with advertisers or data brokers.
- The employer decides who in their company sees the data and how long it is kept.
- You can ask for your account and data to be deleted at any time: see Delete your account.
Who is responsible for your data
If you are a field employee using Trakly because your employer uses it, your employer controls your tracking data: they decide who in the company sees it and how long it is kept, within the limits in this policy. We process it on their behalf, to run the service. Questions about your own tracking data are fastest answered by your employer; you can also contact us directly.
What we collect
From employees using the Android app
- Location: precise GPS position (latitude, longitude, accuracy, altitude, speed and heading), with a time, during an active work day only. This includes location collected in the background — while the app is closed or not in use — for as long as the work day is active. A location is also taken when you start or end your day, check in or out at a customer, or pin a customer’s location.
- Account details: name, email address and, if given, phone number; your password is stored only as a one-way (Argon2id) hash that no one can read back.
- Work records: work-day start and end times, customer visits (arrival and departure time and place), and notes, follow-up dates and messages you add about customers.
- Device and app information: a device identifier, device model and Android version, app version, and with each location, the phone’s battery level and network type, used to diagnose tracking problems.
- Notification token: if push notifications are enabled, a token that lets us send notifications to your phone.
The app does not access your contacts, photos, files, microphone, camera, messages or browsing history, and does not use an advertising ID.
From owners and managers using the web dashboard
- Name, email address, phone number and company details.
- Customer records they create (business names, addresses and contact details), and settings for their team.
- Billing details for a paid plan are handled by our payment provider, Razorpay; we do not see or store card or bank numbers.
How we use it
- To provide the service the employer uses Trakly for: attendance, the route and distance travelled during the work day, customer visits, live team status, reports and alerts (for example, that an employee has not started their day or has gone offline).
- To sign you in, keep your account secure, and keep the app working (including diagnosing problems).
- To contact the account owner about the service, their account and billing.
We do not use your data for advertising, and we do not sell it.
Who can see an employee’s data
- Their employer: owners and managers in the same company account, as the employer sets up. A manager sees their own team; an owner sees the whole company.
- Trakly support staff, only when helping the company with a problem, through read-only access that expires after 15 minutes and is recorded in an audit log.
- No other company. Every company’s data is kept separate.
Service providers
We use these providers to run Trakly. They process data only on our instructions, to provide their service to us:
- Cloud hosting and database providers: store and serve all of the data above.
- Google Firebase Cloud Messaging: delivers push notifications to the app (receives the notification token and the notification text).
- Google Maps Platform: shows maps in the dashboard and turns customer addresses into map positions.
- WhatsApp messaging, if the employer turns it on: delivers alerts to the employer’s managers (receives the alert text, such as an employee’s name and that they have not started their day).
- Razorpay: processes subscription payments for company accounts.
- Error monitoring (only if enabled): receives technical error details to help us fix bugs, never passwords or location.
We may disclose data if the law requires it, for example in response to a valid legal order.
How we protect it
- All data travels between the app, the dashboard and our servers over encrypted connections (HTTPS).
- Locations waiting on the phone to be uploaded are stored in an encrypted database on the device.
- Access within a company is limited by role, and every company’s data is kept separate.
How long we keep it
- Location history: 180 days by default; an employer can choose a shorter or longer period (30 days to 5 years). Older locations are deleted automatically every night.
- Audit logs (who changed what, and when): 365 days by default.
- Account and work records: while the account is active, and deleted when the employer or you ask us to delete them (see below).
Your choices and rights
- You control when tracking runs: it starts only when you tap Start day and stops when you tap End day. You can turn off the app’s location permission in Android settings at any time; the app then cannot record your work day.
- You can ask to see, correct or delete your data. Ask your employer, or email us at hello@trakly.in.

Children
Trakly is a work tool for adults. It is not directed at children, and we do not knowingly collect data from anyone under 18.
Changes to this policy
If we change this policy, we will post the new version here with a new “Last updated” date, and tell company account owners by email about changes to how location data is collected or shared.
